Why WhatsApp voice messages are hard to manage

WhatsApp is one of the world's most widely used messaging apps, and voice messages have become a primary communication format — especially in professional contexts. But audio is not searchable, not easily archivable, and cannot be read in silent environments.

At work, this means losing important information buried in a 4-minute voice note. In legal, medical, or academic contexts, audio needs to become text documents. And in everyday life, there's simply no time to listen to every voice message that arrives.

Automatic transcription solves all of this in seconds. And VoxScriber is the most accurate tool available for English and Portuguese audio.

What is the OPUS format? (WhatsApp audio explained)

When you record a voice message in WhatsApp, it is automatically saved in the .opus format — an open audio codec developed by the Xiph.Org Foundation, optimized for human voice. OPUS offers excellent voice quality with small file sizes, ideal for mobile data usage.

The problem with OPUS is that few apps and services support it directly. Most tools require you to convert to MP3 first — an unnecessary extra step.

VoxScriber accepts OPUS natively. Export the file from your phone and upload directly, no conversion needed.

Note: newer versions of WhatsApp on iOS may save audio as .m4a instead of .opus, depending on backup settings. VoxScriber accepts both formats.

Step-by-step: export and transcribe WhatsApp audio

On iPhone (iOS)

  1. Open the conversation and tap and hold the voice message
  2. In the menu, tap "Forward" or the share icon (box with arrow)
  3. Choose "Save to Files" → select iCloud Drive or local storage
  4. Open the Files app, find the .opus (or .m4a) file
  5. AirDrop to your Mac, send by email, or access via iCloud in your computer browser
  6. Upload the file to VoxScriber and wait for transcription

On Android

  1. Audio is automatically saved in: Internal Storage → WhatsApp → Media → WhatsApp Voice Notes
  2. Use a file manager (like Files by Google) to find and copy the .opus files
  3. Alternatively: tap and hold the message → share → Google Drive, Dropbox, or email to yourself
  4. Access the file from your computer or directly from your phone
  5. Upload to VoxScriber

From your computer (WhatsApp Web or Desktop)

  1. Open WhatsApp Web or the Desktop app
  2. On the voice message, click the three-dot menu (⋮)
